• Increase unity & co-operation among its members and student body at large; and to

• Provide for the efficient operation of this organization and the fulfillment of its aims.

We the members of The Bahamian Bermudian Caymanian Club of Northern Caribbean University adopt and establish this constitution.

Article I

Names and Terms

The legal name of this organization will be The Bahamian Bermudian Caymanian Club of Northern Caribbean University.

The association may also be called the BBC Club as Northern Caribbean University may also be called NCU.

Officers of the BBC Club may be called the Executive. The members of the BBC Club, excluding officers may be called the House.

Article II

Members Definitions

Section 1 Active membership will include:

(a) All Bahamian, Bermudian and Caymanian students at NCU.

(b) Full time student worker of The three stated Nationalities.

Section 2 Associate membership will include:

(a) All Faculty and Staff of the three Nationalities

(b) Honorary members- subject to a membership decision, persons who have performed outstanding service to the club, or persons who are desirous of offering such services.

 

Article III

The BBC Club Executive Body

Section 1

Officers of the BBC Club executive body will include:

  • President
  • Vice President
  • Secretary
  • Assistant Secretary
  • Treasurer
  • Projects Director
  • Director, Public Relations & Protocol
  • Director, Religious Affairs
ARTICLE IV
Executive and Other Committees

Section 1

Members of the executive committee will include:

All Executive officers as stated in Article III

Section 2

Committees may be formed as necessary to increase the efficiency of various departments.

ARTICLE V
Meetings

Section 1

This club will meet regularly at least twice per month.

Section2

At least one (1) executive meeting will be held prior to each general meeting.

ARTICLE VI
Amendments

Section 1

Proposed constitutional and by-law amendments must be presented to the House and supported by (2/3) of the House.

Section 2

At least ONE WEEK’S notice should be given before presentation or votes can be made.

BY-LAWS OF THE N.C.U. BAHAMIAN BERMUDIAN CAYMANIAN CLUB

The following regulations supplement the constitution of The Bahamian Bermudian Caymanian Club of Northern Caribbean University. All definitions given and all stipulations made in that constitution apply to this document.

 

BY-LAW I
Duties of Officers

The duties of the Executive are as follows:

Section1

The President will chair the executive committee and will direct the meetings of the BBC Club. S/he will be the official representative of the BBC Club. S/he will promote student interests, particularly with work and public issues. S/she will be the official representative of the club while promoting the image of the club, to build and maintain its status.

Section 2

The Vice President will assist with all presidential responsibilities, but will focus primarily on the students’ social development. S/he will initiate and develop social, intellectual, stimulating and enriching programs. If the presidential office becomes vacant, s/he will assume full presidential duties. (See By-law I, Section I).

Section 3 The Secretary will conduct all official correspondence preserve all communications, and record the proceedings of all BBC Club meetings. S/he is expected to also furnish Executive members and the Vice President of Student Development with a copy of minutes.

Section 4

The Assistant Secretary will assist the secretary with secretarial duties. (See By-law I, section 3).

Section 5

Projects Director will identify, plan, and manage the implementation of the beneficial and/or profit making and service projects. She/he will ensure that:

All projects are completed on time.

Projects that require continuous funding are supported and maintained for the year.

A regular projects development report is given to the BBC Club executive.

The next year’s project’s director receives a record of current projects with recommendations for plans that the next regime may consider.

 

Section 6

The Treasurer will record all BBC Club financial transactions, and will present a financial report to the executive committee at least once per month.

Subject to Executive approval, she/he will collect and disburse the funds of the club.

The Treasurer will prepare a budget by the fourth week of the first semester, and will also present a financial statement to the house; a copy should be kept on permanent file.

Section 7

An Assistant Treasurer will be appointed if necessary. S/he will assist with the Treasurer’s duties (See By-law I, section 6).

Section 8

The Director of Public Relations & Protocol will help maintain the public image of The Bahamian Bermudian Caymanian Club.

She/he will provide the House and the public with the relevant information regarding projects and other BBC Club-sponsored activities. She/he will set the order of meetings and formal proceedings. Along with the President, she/he will conduct internal parliamentary acts.

Section 9

The Director of Religious Affairs will direct all BBC Club religious exercises and maintain the morality of the Club.

Section 10

Following an Executive Committee recommendation and two thirds (2/3) majority vote; an ineffective officer will be removed from office. Any officer who fails to demonstrate their commitment to the programs, policies, and values of the association will be considered ineffective. The vacant post will then be open to a by-election (see By-law III, Section 5).

Section 11

The list of executive duties is by no means exhaustive.

BY-LAW II
Duties If the Executive Committee

Section 1 The BBC Club Executive Committee will meet every first and third week of each month to consider the efficiency of the regime. In the Presidents absence, the Vice President will chair the meeting. In the absence of either President or Vice President, the meeting will not take place.

Section 2 The Executive Committee will acknowledge full responsibility for all legal and financial transactions resulting from the activities of any previous regime. These transactions will include debts owed by the club and debts owed to it.

Section 3 The newly elected body Executive will meet at least once with the out-going officers. The out-going President will call and direct these joint meetings.

BY-LAW III
Election of Officers

Section 1

Only students who have completed one (1) semester at NCU, who have good citizenship standing, and holds a Grape Point Average of at least 2.3 on the 4.0 scale will be eligible for election to any BBC Club office.

Section 2

Students wishing to run for BBC Club President or Vice President will be juniors or seniors with leadership experience or potential. The nominee will be supported by at least two thirds (2/3) of the out-going Executive body.

Section 3

Officer elections for the ensuing year will take place at least 4weeks before the last day of classes in the 2nd semester and will follow the following procedure:

Nomination of candidates will be conducted through the House with the officer responsible for protocol leading the proceedings. The House will name candidates for the coming year. This process will occur in the in third month of the second semester.

Between two (2) and four (4) candidates for each office will be nominated at the first presentation made to the house.

If there are concerns about the nominees, the executive committee will meet to discuss and alter the list if necessary. If there are no concerns about the candidates, the second presentation will be made to the House. Acceptance of this list will be indicated by a 2/3-majority vote if the House members. A second list of nominees for office will be posted, and nominees will begin campaigning.

The names of all candidates will then be presented to the House to be voted on by the secret ballot.

The candidate receiving the most votes will be declared elected.

 

Section 4

When notified of their nomination, candidates will register their acceptance or declination with the current President or the officer responsible for Protocol.

Potential Presidents, Vice Presidents and Projects Director will submit to the current Executive their manifestos.

Section 5

The House will conduct a by-election within two weeks of an office vacancy.

The executive will be the by-election nominating committee, and will present the House with at least two names for every vacant office. The House will vote on the names and the candidate receiving the most votes will be elected to the post.

BY-LAW IV
Finance and Dues

Section 1

The BBC Club dues will be fifteen (15) US dollars, or the equivalent in Jamaican dollars (Rate: 60JMD’s to 1USD) per semester for all active members, and fifteen (20) US dollars or the equivalent for all executive members.

Section 2

The BBC Club administration will collect the dues at a specified period.

Section 3

The Executive committee will disperse funds in accordance with the voted budget except by sanction of the House. The cost of items not provided for by the budget must not exceed the amount allocated for miscellaneous items.

Section 4

All funs collected will be kept in a specified bank, divided between three accounts:

US Dollars Account

Checking Account

 

Section 5

Update of account activity (interest gained, cash intake and outflow), will be given to club members after careful review and scrutiny by the Executive Committee.

BY-LAW V
Sponsors

Section 1

Following Executive recommendations, sponsors will be appointed to the BBC Club.

Section 2

The prospective sponsors will be given a letter of invitation to sit in the recommended position. When notified of the recommendation, the prospective sponsors will register their acceptance or declination to the current executive team.

Section 3

At least one sponsor will be in attendance at every general meeting, and Executive meeting.

BY-LAW VI
Quorum

The quorum is the minimum number of members permissible for a constitutional vote.

Section 1

The quorum of the executive committee will consist of four members including the President, but not including sponsors.

Section 2

The House quorum will be the majority of the House.
